Job Summary:
The Payroll Administrator is responsible for accurately and efficiently processing payroll transactions for direct labour within the organization. This role involves ensuring compliance with company policies, governmental regulations, and tax laws. The Payroll Administrator will collaborate with various departments to address payroll-related inquiries and discrepancies while maintaining confidentiality and integrity of direct labour records.
Duties & Responsibilities:
- Process bi-weekly, monthly, or semi-monthly payroll for direct labour accurately and on time.
- Verify and reconcile timekeeping records and attendance data.
- Calculate wages, overtime, bonuses, and deductions based on company policies, employment contracts, and applicable laws.
- Prepare and distribute payroll reports, statements, and summaries to management.
- Ensure compliance with federal, state, and local tax regulations, including withholding and remittance.
- Stay updated on changes in payroll regulations and implement necessary adjustments.
- Process direct labour terminations, including final pay calculations and issuance of relevant documents.
- Address direct labour inquiries and concerns regarding payroll matters promptly and professionally.
- Collaborate with HR, finance, and other departments to resolve discrepancies and ensure accurate data entry.
- Maintain confidentiality of payroll information and ensure data security measures are followed.
- Assist with payroll audits and provide documentation as needed.
- Keep accurate records of payroll transactions and maintain payroll files.
- Support special projects and initiatives related to payroll and HR as assigned.
Minimum & Preferred Qualifications and Experience:
Minimum Qualifications:
- Bachelor’s degree in accounting, Finance, Business Administration, or a related field preferred.
- Previous experience (2-3 years) in payroll processing or related role.
- Proficiency in payroll software and MS Office, especially Excel.
- Strong understanding of payroll principles, tax regulations, and labor laws.
- Excellent attention to detail and accuracy in data entry.
- Ability to handle sensitive and confidential information with discretion.
- Effective communication skills, both verbal and written.
- Strong organizational and time-management skills.
- Problem-solving abilities and analytical mindset.
- Ability to work independently and collaboratively in a fast-paced environment.

Physical Requirements/Work Environment:
This position primarily works in an office environment. It requires frequent sitting, standing, and walking. Daily use of a computer and other computing and digital devices is required.
