This position requires two headcount to be located in the following regions:
- East Malaysia (Labuan/Sabah/Sarawak)
- West Malaysia (Kemaman)
OVERALL PURPOSE OF THE JOB
To support the Head of Group Facilities Management (GFM) in overseeing and managing the organization's facilities management functions. Plays a critical role in ensuring the smooth operation of daily facilities activities, maintaining a well-organized and efficient work environment, and supporting the needs of employees and stakeholders by working closely with various departments to provide facilities management support, manage office facilities and supplies, and ensure compliance with organizational policies and guidelines.
PRINCIPLE DUTIES
Facility Maintenance & Upkeep
- To perform weekly or monthly routine inspection at the respective facilities.
- To conduct minor repair and maintenance work where applicable.
- To liaise with contractor for any major maintenance work.
- To ensure services under LOA is conducted in accordance with terms & conditions.
Group Utilities Management.
- To act as main PIC to resolve any utility matter to service points.
- To assist GFM PIC application & termination of company accounts.
Tenancy Agreements Monitoring & Renewals.
- To ensure that facility practices are in compliance terms & conditions stipulated in the tenancy agreements.
- To assist GFM on any correspondence or follow up on rented properties/premises relating to payments & renewals to/with landlords.
Licensing - Municipality/Authorities.
- Ensure all company licenses are paid in a timely manner. To monitor the validity of company registration and licenses are renewed in a timely manner in order to comply with statutory requirements.
- PIC on correspondence with municipality/authorities offices - applications /terminations.
Office Automation Maintenance & Management.
- Manage and monitor all OA within the service points are in good working condition.
- PIC in managing complaints received from service points.
- To assist HQ on new application and termination of units.
Property Assessment.
- To assist HQ in monitoring & managing property value assessment for banking requirements.
- To guide any visits by property valuation agents.
Building System Management.
- Main coordinator for building access management - Face Recognition/Biometric systems at service points.
- Main coordinator and liaison with service providers & to provide reporting upon request by Group FM.
Group Facility Management – Financial & Performance Management.
- To support GFM in providing required support for reporting related to operational expenses investigate and highlight any abnormality to General Manager, FM.
- To assist the Head of Group FM in preparing monthly/quarterly/annual financial reporting.
Company Vehicles Maintainance.
- Managing and monitoring of all company usage, applications & termination of all company petrol cards.
- To adhere to code of business conduct (COBC)
- To adhere to Deleum and the customer's QHSE requirements.
- To perform any other tasks or assignments as required by immediate supervisors and/or the management from time to time.
KNOWLEDGE / EXPERIENCE REQUIRED FOR THE JOB
- Minimum 5 years working experience and 3 years experience in facilities management in Oil & Gas Industry.
- Able to effectively interact with different types of people
- Good practical experience with MS Office
- Excellent organizational and multitasking abilities with a strong analytical mindset.
- Good team player abilities with problem-solving and leadership skills
ACADEMIC / PROFESSIONAL QUALIFICATION
Possess a Bachelor's degree in a relevant field such as business administration, construction management, or engineering.
