Role Purpose:

As the Office Administrator, you will be responsible for overseeing the efficient and effective operation of SETEL's facilities and infrastructure. This role involves managing various aspects of facility management, including maintenance, security, safety, space utilization, and mail-room coordination. The Office Administrator plays a crucial role in creating a safe, functional, and well-maintained environment that supports SETEL operations.

In This Role You Will:

  • Office Maintenance and Operations:
  • Develop and implement a comprehensive Office maintenance plan to ensure the proper functioning of all equipment, systems, and structures.
  • Schedule and oversee routine maintenance tasks, repairs, and inspections to prevent disruptions and maintain a safe environment.
  • Coordinate with Building Management/Landlord to address Office-related issues promptly.
  • Optimize the allocation and use of available space within the Office to maximize efficiency and productivity.
  • Manage the office space (e.g. Meeting Rooms, Pantry, Common Areas etc.), ensuring it's organized, clean, and well-maintained.
  • Oversee office and pantry supplies inventory and order necessary items to maintain a functional workspace.
  • Receive and log incoming parcels, packages, and mail accurately into the tracking system and distribute them to their respective recipients or departments.
  • Security and Access Control:
  • Implement security measures and access control protocols to safeguard the Office and its occupants.
  • Coordinate with the building security personnel and the IT Operations team to prevent unauthorized access and ensure a secure environment.
  • Monitor and control visitor access to SETEL office as well as employees' access to restricted rooms/areas.
  • Health & Safety Compliance and Emergency Preparedness:
  • Ensure compliance with health and safety regulations and guidelines including fire safety, emergency response, and occupational health standards.
  • Identify potential workplace hazards and conduct regular risk assessments to determine potential dangers and recommend preventive measures.
  • Conduct drills and training sessions to ensure employees are prepared to respond effectively to emergencies.
  • Other Assignment
  • To assist with any related tasks, projects, and other assigned duties as and when deemed necessary.

You're A Great Fit If You Have:

  • Experience in facilities management, business administration, or a related field (preferred but not always required).
  • Minimum 2 years' experience in Office management, property management, or related roles.
  • Familiarity with Occupational Safety and Health Act 1994 standards is an advantage.
  • Excellent communication and interpersonal skills to collaborate with internal and external stakeholders effectively.
  • Ability to handle sensitive information with confidentiality and integrity.
