Administrative Assistants (Administration & Office Support)

  • We are looking for a highly organized and efficient Operation Executive to join our Company Planning Division. The ideal candidate will be responsible for managing daily operations and providing administrative support to ensure the smooth functioning of the department. This role is crucial in supporting our strategic initiatives and maintaining high operational standards. 

    MAIN RESPONSIBILITIES
  • Operational Support:
    • Assist in the planning and execution of departmental projects and initiatives.
    • Coordinate and manage daily operations to ensure efficiency and effectiveness.
    • Develop and implement standard operating procedures to enhance productivity.

     
  • Administrative Duties:
    • Handle administrative tasks such as scheduling meetings, preparing reports, and managing correspondence.
    • Maintain accurate records and documentation for the department.
    • Assist in the preparation of presentations and other materials for meetings and conferences.

     
  • Resource Management:
    • Manage and allocate resources effectively to support departmental activities.
    • Monitor inventory levels and order supplies as needed.
    • Coordinate with vendors and service providers to ensure timely delivery of goods or services.

     
  • Communication & Coordination:
    • Serve as a liaison between the Company Planning Department and other departments within the organization.
    • Facilitate communication and collaboration among team members to ensure alignment with departmental goals.
    • Handle inquiries and provide information to internal and external stakeholders as needed.

     
  • Data Management:
    • Collect, analyze, and report on data related to departmental operations and performance.
    • Ensure data accuracy and integrity in all reports and documentation.
    • Support the development and implementation of data-driven strategies for operational improvement.

     
  • Leadership Support:
    • Provide administrative support to the department’s leadership team.
    • Follow up on action items.

    QUALIFICATION, EXPERIENCE & SKILLS REQUIRED

    Academic Education : Bachelor's degree in Business Administration, Management, or a related field.
    Language Proficiency: Native or Fluent: English, Mandarin, Malay.

    Professional Experience: 
    1. Proven experience in operations and administrative roles, preferably within a corporate or planning environment.
    2. Strong organizational and multitasking skills.
    3. Ability to work independently and as part of a team.

    Technical & Management Skills:
    1. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
    2. Excellent written and verbal communication skills.
    3. Strong analytical and problem-solving abilities.

    Others:
    1. High level of professionalism and attention to detail.
    2. Ability to manage multiple priorities and meet deadlines.
    3. Proactive and adaptable with a positive attitude.
