Purchasing, Procurement & Inventory (Manufacturing, Transport & Logistics)

Reports to: Purchasing Manager and/or Senior Purchasing Officer

Responsibilities:

Maintaining the purchasing systems (Nautical Solution and Xero) for all materials and services requisitions, and purchase orders.
Acquisition of vessel equipment, spare parts, hardware and consumables as per “Purchasing Requisition” details generated by vessel crew and onshore company personnel.
Procurement of specialty contractor services as per “Work Requisition” details generated by vessel crew and onshore company personnel.
Procurement of food stores from the Company's preferred supplier in line with respective vessel manning budgets.
Maintain an up-to-date knowledge of the Company’s vessel schedules and related forward planning requirements to expedite authorised purchases in accordance with lead time requirements.
Formulating and finalizing purchase orders in accordance with Company policy and procedure.
Sourcing and identification of potential service providers.
Qualification and approval of service providers.
Maintenance of service providers’ database.
Management of internal queries regarding purchasing.
Managing the relationship with a wide range of suppliers and external service providers.
Securing acquisition of goods efficiently.
Provide all necessary reports and communication to ships and operational personnel as required this includes both incoming and outgoing.
Liaise with operations management in relation to purchasing requests and keep them informed on technical details, price and availability.
Provide Finance with timely responses to all account enquires.
Contribute to cost reduction by ensuring minimum delays in providing essential items.
Other duties as directed by the Purchasing Manager or General Manager Operations.

Scope of Authority:

Authority to negotiate with suppliers on behalf of the Company.
Authority to place signed Purchase Orders with nominated suppliers.

Proficient in the Microsoft suite of packages.

Knowledge:

Ability to understand business objectives and priorities.
Minimum of 2 years working in a similar role in a multi companies’ environment.
Knowledge and exposure to the Oil and Gas Industry in particular the marine environment preferred.
