採購兼行政助理負責協助公司進行採購和行政工作,確保日常營運順暢。該職位涉及商品和服務的尋源和採購、與供應商協調以及為各部門提供一般行政支援。

該職位在確保及時採購、成本控制和高效的辦公室管理方面發揮著重要作用。

主要工作職責

1. 採購與供應

  • 根據公司流程準備採購訂單(PO)。
  • 尋找供應商並取得產品、材料和服務的報價。
  • 比較供應商價格、交貨時間和產品規格,以做出具成本效益的採購決策。
  • 與供應商溝通訂單下達、交貨時間表、產品供應狀況及價格等事宜。
  • 核實與採購相關的單據,包括報價單、採購訂單、送貨單、發票和貸項通知單。
  • 與相關部門協調,確保收到的貨物與採購訂單和所需規格相符。
  • 協助解決與數量短缺、貨物損壞、價格問題或交貨延遲相關的差異。
  • 維護和更新供應商資料庫、採購記錄和採購文件。
  • 尋找替代供應商,並在需要時協助進行供應商績效評估。

2. 行政支持

  • 維護和整理公司記錄、文件、合約和行政文件。
  • 管理辦公用品並協調補貨,以確保庫存充足。
  • 協調快遞服務、辦公室維護、維修和一般辦公室行政事務。
  • 協助公司活動和內部行政工作。
  • 協助監控辦公用品和營運材料的庫存水準。

3. 合規與持續改進

  • 確保所有採購和行政活動均符合公司政策和程序。
  • 對公司資訊和供應商協議保密。
  • 找出提高採購效率、優化行政流程和節省成本的機會。
  • 執行管理層不時分配的其他任何職責和特殊項目。

要求:

  • 最低學歷要求為SPM/文憑或同等認可資格。
  • 至少一年行政工作經驗。
  • 熟練使用 Microsoft Word 和 Excel,能夠準備和管理專案文件和報表。
  • 能夠在快節奏的環境中獨立工作並完成目標,同時能夠作為團隊成員有效做出貢獻。
  • 熟練使用微信和淘寶等採購工具。
  • 做事有條理,注重細節,能夠同時處理多項任務,合理安排優先級,並始終按時完成工作。
